These terms govern access to and use of this Financial Management System. “Organization” means the entity operating the deployed system. By creating an account or using the system, you agree to these terms and the Privacy Policy.
1. Authorized use
You may use the system only for legitimate, authorized business activities and only within the permissions assigned to your account. Access does not grant ownership of the system or unrestricted access to financial or personal information.
2. Accounts and credentials
You must provide accurate information, keep credentials confidential, use your own account, and notify the organization of suspected compromise. You are responsible for activity performed through your account unless promptly reported as unauthorized. Passwords and OTP codes must never be shared.
3. Financial records and approvals
Users must enter complete and accurate transaction information and attach authentic supporting documents when required. Draft, submitted, approved, posted, queued, released, paid, rejected, reversed, and voided statuses have different effects. Users must complete the required approval and release workflow and must not treat an unapproved record as final.
4. Supporting documents
You confirm that uploaded invoices, receipts, payment proofs, tax documents, and other files are genuine, relevant, lawful, and authorized for use. The organization may review, reject, retain, or investigate files when necessary for verification, audit, fraud prevention, or legal compliance.
5. Prohibited conduct
- Accessing another person’s account or data without authorization.
- Submitting false, altered, misleading, malicious, or unlawful information or documents.
- Bypassing approvals, permissions, security controls, audit logs, or payment-release procedures.
- Introducing malware, probing vulnerabilities, overloading the service, or interfering with operation.
- Using exported information for an unauthorized purpose or disclosing confidential information improperly.
6. User roles and administrative actions
Permissions depend on role and may be changed or revoked by authorized administrators. Administrative access must be used only for legitimate duties. Approval rights do not remove the duty to review amounts, accounts, payees, evidence, taxes, and authorization before action.
7. Availability and maintenance
The organization may update, suspend, restrict, or discontinue parts of the system for maintenance, security, compliance, or operational reasons. Continuous or error-free availability is not guaranteed. Users should report errors and avoid repeating submissions when a response is uncertain.
8. Reports and system information
Reports, forecasts, risk indicators, notifications, and dashboard summaries support decision-making but must be checked against source records. They do not replace professional accounting, tax, legal, or audit judgment.
9. Intellectual property
The system design, software, branding, and documentation remain the property of their respective owners. Users receive only a limited right to use the deployed service for authorized purposes.
10. Responsibility and limitation
To the extent permitted by law, the organization and system providers are not responsible for losses caused by unauthorized use, inaccurate user input, ignored warnings, unsupported modifications, third-party outages, or failure to follow required controls. Nothing in these terms excludes rights or liabilities that cannot legally be excluded.
11. Suspension or termination
Access may be suspended or terminated for security risk, policy violation, unauthorized activity, employment or contractual changes, legal requirements, or operational necessity. Relevant financial and audit records may remain retained after account deactivation.
12. Privacy
Use of personal information is described in the Privacy Policy, which forms part of these terms.
13. Changes and governing rules
The organization may update these terms when the service, policies, or legal requirements change. Continued use after notice of material changes indicates acceptance where permitted by law. These terms are governed by the laws applicable to the organization operating the deployment.
14. Contact
Questions about these terms should be directed to the organization’s system administrator. Signed-in users may use Settings → Help & Support.
